Position Summary:
The Executive Assistant provides high-level clerical administrative support to the Executive Director of the Camrose & District Chamber of Commerce. This role ensures the efficient operation of the office and supports the organization’s objectives by managing administrative tasks, communication, and records, excluding event planning and coordination responsibilities.
Key Responsibilities:
1. Administrative Support:
- Manage the Executive Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare, proofread, and edit correspondence, reports, and other documents.
- Serve as a liaison between the Executive Director and Chamber members, stakeholders, and community organizations.
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
2. Office Management:
- Maintain office supplies and equipment, ensuring functionality and availability.
- Organize and maintain electronic and physical filing systems for records, contracts, and documentation.
- Oversee administrative policies and procedures to ensure compliance and efficiency.
3. Financial and Data Management:
- Assist with basic bookkeeping tasks, including tracking expenses, invoices, and membership dues.
- Maintain accurate records of memberships, sponsorships, and other financial contributions.
- Support the preparation of budgets and financial reports.
4. Communication and Relationship Management:
- Draft and distribute internal and external communications, such as newsletters and updates to members.
- Provide information and assistance to Chamber members regarding services and benefits.
- Foster positive relationships with members, stakeholders, and the general public.
5. Board and Meeting Support:
- Coordinate materials and logistics for board meetings and other official gatherings.
- Prepare meeting agendas, minutes, and follow-up action items.
- Maintain records of board and committee activities.
6. General Support:
- Assist the Executive Director in implementing strategic initiatives and operational plans.
- Provide administrative support for special projects and campaigns as needed.
- Perform other duties as assigned by the Executive Director to ensure the success of the Chamber.
Qualifications:
- Diploma or degree in business administration, office management, or a related field (or equivalent experience).
- Minimum of 2 years of administrative experience, preferably in a nonprofit or membership-based organization.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and database management systems.
- Proficient in QuickBooks and basic accounting processes.
- Proficient in Canva or equivalent graphic design software.
- Website management experience is an asset.
- Strong organizational, and time management skills with attention to detail, and able to multitask in sometimes a highly active environment.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion and professionalism.
- Self-motivated and capable of working independently and as part of a team.
Working Conditions:
- This is a full-time position located in Camrose, Alberta.
- Work is primarily conducted in an office environment, with occasional travel required for meetings or Chamber-related functions.
- Some flexibility in hours may be required to accommodate meetings or deadlines.
Compensation:
